Digital Signature and Security with Acrobat 7 Professional

In a few minutes Comtaste will start an eSeminar for Adobe Italy on the following topic :

Digital Signature and Security with Acrobat 7 Professional

The event is free but you have to register to Adobe site (italian language).

Flash and PDF together on mobile devices

"(PDF and Flash) both have huge reach across the internet: hundreds of millions of people. I think the Flash player is in 98 per cent of desktops."

"People should expect to see that much of what we do in the future will be designed to take advantage of that platform: the combination of the PDF reader and Flash player,"

This is what Mr Elop, Adobe, said in the "Adobe no Flash in the pan for mobile solutions" interview by BizTech.

He gives the example of an online loan application site, which uses Flash to display the options in an interactive way, then a PDF form for the final application.

Adobe expects mobile phones will be another big market for the Flash/PDF combination. "This is at the heart of our strategy," he says. "We want (Flash/PDF) to be the cross-platform choice. For mobile devices, set-top boxes, digital television sets, gaming platforms, car navigation, aircraft entertainment, the list goes on and on."

How to make a PDF Accessible with Adobe Acrobat 7

On December 15, 2005 we organized the first Acrobat User Group event in Italy.
ple attended and a number of them have expressed an interest in joining the group in Rome or Milan and are eager to come to the next meeting.
That is, I believe is a further confirmation of general interest in the initiative of an Acrobat User Group in Italy. You can see more notes and photos on AcrobatUsers site.

The two key topics that we covered were ‘Introduction to Acrobat product family’ and ‘PDF Accessibility" I have to say that a particular interest arose from the discussion about accessibility.

I decided to translate into english  my "PDF_Accessibility " presentation and make it available to download.

Download PDF_Accessibility in PDF format (of course :) ).
If you want the italian version fell free to ask me !

How to remove sensitive information and redaction techniques in PDF

Two great resources from Adobe for Acrobat Users.
Lori De Furio pointed out that Adobe's developer technologies team has posted a document on how to remove sensitive information from a PDF.
Have also a look at the comments of that post where Lori explained that the document is being updated as we speak (she'll repost to her  blog when the updated version is live) after that they'll add some information on Redax , a very integral part of many PDF redaction workflows, and used by many federal agencies to adhere to the Freedom of Information Act (FOIA).

Thanks to John Landwehr for his post on the proper way to redact documents in their source form and PDF.
Adobe has written a whitepaper titled "Redaction of Confidential Information in a Document".

Moreover, the National Security Agency Information Assurance Directorate has also provided guidance in a document titled: "Redacting with Confidence: How to Safely Publish Sanitized Reports Converted from Word to PDF"

Optimize your PDF production with Batch sequence

One of the annoying issues I have to manage with my PDF production is to repeat the same operation in many pages of more than document.
With Acrobat 7 it's now possible to use a batch sequence to define from a set of operations what you want to do choosing which files to modify and where to store the finished file.

Acrobat 7 allows to choose from 8 different batch operations (comments, documents, pages,  etc.) that give you a large range of possibilities : opening files, printing, deleting comments, adding headers and footers, description.

In our example we'll add a Header & Footer section to our pdf documents. Open Acrobat 7 Professional and :

    • Under menu Advanced > Batch Processing. It opens the Batch Sequences window where you can choose the batch process
    • Choose a New Sequence so you can give a name to your batch process and decide to reuse it whenever you want.
    • The Edit Batch Sequence dialog opens
    • Click the Select Commands button and the Edit Sequence dialog opens
    • Choose  Document menu and select Add  a Header & Footer section
    • Now specify the settings Acrobat will use for adding the  add  Header & Footer batch sequence

Have also a look at Whip up a batch of watermarks article from Adobe site.

Export images from Torino2006 Winter Games PDFs

Torinologo Torino2006 Winter Games are officially over.
The record of Torino2006 is impressive: on February 22nd, over 71 million pages were visited by 2 million single users; the average, in the 15 days of Games, reached 11% more than Athens and almost 300% more than Salt Lake City.
All of the downloadable documents were in PDF format. See for example the page for the Torino 2006 Spectator Guide.

For a recent project I needed only some of the images inside the PDF.
With Acrobat is possible to export images when you choose to export the PDF in HTML format. In fact in the Export dialog window you can choose to export only the images :

    • go to Advanced > Export All Images
    • choose a folder for saving the images
    • choose the format you want to export (GIF, PNG, JPG..)

You can limit the exported images using the default size setting (under Exclude Images smaller than option).
For example you can decide to prevent export for all images with the size of 3 inches ! Cool !!

    Export PDF from Adobe InDesign

I work as consultant for a company that used to distribute to its clients a magazine about news and marketing information.
The magazine is created with Adobe Indesign and we used to send the magazine via email in a PDF format.
In Adobe Indesign is very easy to export in PDF :

    1. first of all you have to create a style for you pdf
    2. go to File > PDF Export Presets and select an option from the list (eBook, Screen, Print, Press, PDF, Acrobat 6 Layered)
    3. now you're ready to choose File > Export  and save your document

If you want you can create a new preset in Indesign under File > PDF Export Presets > Define.
A dialog box window open, where you can choose the name of your preset and all its settings. Your customized preset will now be added to the menu list (File > PDF Export Presets ).

Too easy but very powerful !

    Adobe LiveCycle developer center online

Adobe LiveCycle is an incredible and powerful product.
Adobe has launched the LiveCycle Performance Center, a resource that provides uidelines for improving and troubleshooting performance-related issues of your Adobe LiveCycle enterprise applications.
These are some of the tutorials you'll find :

Improving the Performance of Adobe LiveCycle Designer 7.1 Forms (PDF: 548KB)

These guidelines apply to LiveCycle Designer 7.1 and Adobe LiveCycle Forms 7.1. They will help you create and maintain LiveCycle Designer 7.1 forms for optimal performance and troubleshoot performance-related issues.

Improving the Performance of LiveCycle Designer 7.0 Forms (PDF: 420KB)

These guidelines will help you create and maintain LiveCycle Designer 7.0 forms for optimal performance and troubleshoot performance-related issues.

PDF on diet: how to reduce PDF file size

I often use to send (yes I know I'm not the only) PDF via email.
An important issue is the file size. In Acrobat 7 to get the dimension of your document go to File > Document Properties and select the Description tag.
I apply several tecniques in order to reduce the size of my PDFs:

    • File > Reduce File Size : open a dialog box where you can choose the Acrobat Version compatibility (wherever possible I use Acrobat 5 that use the JBIG2 compression, better thanthe CCITT or Zip compressions )
    • Save a file using the Save As menu  item. The simple Save does not rewrite the entire file (unused object will still be used)
    • decreasae the number of fonts used (pay attention to Type 3 fonts) and the bitmap images
    • use vector based-graphics (GIF format)
    • use the RGB color insted of the CMYK
    • use Tools > PDF Consultant > Audit Space Usage function to see how different items impact on your documet
    • last but not least use the PDF Optimizer launching Advanced > PDF Optimizer. It's a useful tool that allows you to optimize images size, fonts and set up

Now all you have to do is to send the optimized pdf via email : go to File > Email and a email dialog window opens !
Don't miss the Adobe Reduce PDF file size article.

Embed Flash files into PDF with Acrobat 7

I read what Bruce Chizen, chief executive officer of Adobe, said after the acquisition "By combining our powerful development, authoring and collaboration software - along with the complementary functionality of PDF and Flash - Adobe has the opportunity to bring this vision to life with an industry-defining technology platform".

Since now we can use FlashPaper 2 to create a PDF (or a SWF) from every printable document and we can also embed Flash files into PDF documents.
These are a few and simple steps to place a SWF file in a PDF using Adobe Acrobat 7 :

    • open the  Advanced Editing toolbar
    • go to Tools > Advance Editing > Movie Tool and choose a position for your media item
    • the Add Movie window opens. You can set your option selecting the Content and Poster Settings, content type and other options

Pay attention to your SWF, I noticed some problem with compressed SWF file.

Introduction to PDF tags to improve accessibility

In the last post I talked about PDF and Accessibility, and we start considering to tag our pdf documents in order to improve the accessibility level.

I found this great article that tells you all you have to know on PDF and Tags: What are PDF tags and why should I care? (by Duff Johnson). It's a must-read article.
    This is the final summary:

A PDF file equipped with quality-controlled tags may be read effectively using a screen-reader or other assistive technology that reads PDF tags. If the PDF file is also optimized for reflowing of content, it will read well using assistive technologies that do not use PDF tags, as well as on mobile devices. If accessibility is important (or mandatory), or if you want your files to work well on mobile devices, then you need to learn to tag your PDFs

How to make PDF documents accessible, step 1

Pdf_icon_1 PDF offers a range of options, tools and wizards that allow users to create document more accesible and with Acrobat 7, PDF is now able to communicate more effectively with screen readers.
This is a first of a long series of tips on PDF and Acessibility.
In order to make your PDF accessible you must control the following features:

  • keyboard and scroll navigation

  • improve texts for speech reader softwares

  • make your PDF "tagged"

  • support for high-contrast viewing, and the ability to zoom in and reflow text on the screen

  • Tip #1 : Tag  PDFs

To tag a document in Acrobat is very simple. From menu View > Navigation Tabs > Tags open  the Tags panel that shows you the document's tags in a hierarchy.
In order to obtain a well tagged document you can let Acrbat make the work for you, adding tags automatically. From menu item  Advanced > Accessibility > choose Add Tags item.

Characteristics of a properly tagged PDF (via PDFPlanet):

    • The PDF file includes a logical reading order for its content
    • Images are given correct alternate descriptions
    • Tables are correctly tagged to represent the table structure
    • Form-fields are authored to promote their utility to screen-readers
    • Represents text as Unicode to clear up composition irregularities such as soft and hard hyphens

Print every kind of web pages with PDF

One of the best practise that every web developer should care of might be a smart use of a specific css for printing. I can't understand why so many sites nowdays still soffer of a bad printing.
I hate when I launch a print of a webpage and obtain an unreadable paper. It's a waste of time, paper and ink ! :(
So I used to copy and paste the content on that page, open Word, change some formatting stuff and finally print it !

Pdfmaker Recently I found an interesting alternative that makes use of PDFMaker.
PDFMAker is a tool that Acrobat installs in Internet Explorer (and Microsoft Office) that allows you to quickly convert a webpage or a portion of it (selecting only the text you want to convert) to PDF.
You'll find the PDFMAker pull-down icon on your Internet Explorer Toolbar (after installing Adobe Acrobat).

This is very useful because you can control the margin, the page sizes, setting a custom size, a page range and many other options.
With a few steps you'll convert aa page to PDF:

    1. select the webpage you want to convert (or select a portion of the text)
    2. click the PDFMaker pull-down icon
    3. choose Convert Web Pages
    4. Name the file and Save it

The game is over ! Simple as one two !

Acrobat User Community is now live

Auc_logo_tilt AcrobatUsers.com, online home of the Acrobat User Community, is now live at http://www.acrobatusers.com/. Much has been accomplished behind the scenes during the past three months, and there's a lot more yet to come.

I'm the Chapter Leader for Acrobat User Group in Rome/Milan (Italy). On December we organized our first meeting event where the two key topics that we covered were ‘Introduction to Acrobat product family’ and Accessibility. I have to say that a particular interest arose from the discussion about accessibility. In addition, a lot of interest was shown by participants on PDF forms, which I believe is a topic that should be highlighted in the next meeting agenda.
Visit the Meeting Notes Archives on Acrobat site to know more !

Next meeting is scheduled for April in Milan.

Adobe Reader 7.0.7 now support Flash 8 better than ever

Logo3documentsVia Lori DeFurio blog I read that today Adobe released an update to the Adobe Reader 7.0.7 to fix some bugs related to Flash 8 contents embedded and including the support fro the new Acrobat3D.
Therefore I wanted to give you a reminder : Adobe will present Acrobat3D product in Italy on :

21 Feb, Rome - Abitart Hotel
    22 Feb, Florence - OtelVarieté
23 Feb, Trento - Boscolo Grand Hotel
    28 Feb, Milan - Porta Vittoria 16
    time : 14.30 - 18.30

How to open PDF in Fullscreen automatically

This is just another little tip that allows you to open a pdf document viewing it in a Full Screen view :

    • Go under File > Document Properties
    • in the Window Options click Open in Full screen mode check box

In this window you can also choose a color for your background; the default color is black.
With these two simple steps the magic is done and your document will open in full screen.

Top ranking with Google for your PDF documents

Pdf_icon In the last 2 months I spent much time for a project where we did a lot use of PDF documents.
I learned a lot particularly on optimizing the creation process of PDF so I decided to share these information.

So I wrote the first of a long series of PDF articles/tips dedicated to :

How to best rank you PDF documents in Google

Unfortunately it's in italian language, but here it is a brief summary in english :

    • Give a title and Description to your Document under File > Document Properties
    • Tagged you PDF under Advanced > Accessibility > Add Tags to Document
    • Create a PDF version 1.5 or below
    • Consider to use your primary keys on the first pages of your documents
